Job Description 

The primary role of the Events and Venue Coordinator is to effectively schedule the venue and maintain a 360-degree view of all events occurring at the Library & Gardens. He/she will be responsible for coordination and setup and tear down of events, provide front-line service to guests and venue users and maintains a high caliber guest experience. The Events and Venue Coordinator will actively sell and represent the venue to a diverse audience of clients including both external and internal, i.e. - venue rental clients, volunteers, key partners and vendors.

Education and Experience
• Associates or Bachelor’s Degree - business, administration, marketing or hospitality field preferred
• Minimum of one year experience in a guest / customer services function at a cultural attraction, botanic garden or corporate environment
• Event planning or hospitality services experience preferred
• Experience with Constant Contact, Photo Shop, Gmail, Google calendars and Excel spreadsheets preferred
• Excellent communication skills, both written and verbal
• Strong organizational skills
• Ability to solve problems on the spot and confidence to independently make decisions in various situations

Duties & Responsibilities

• Coordination of the master calendar including public, private, special luncheon,
volunteer, docent and staff events.
• Sell the Gardens as a top rental and tour destination to a diverse group of clients
• Coordination of event set up and tear down
• Manages and coordinates multiple Library & Gardens events in an effective, organized
manner
• Conduct post event evaluations
• Attend staff meetings and participate in other staff events
• Develop a personalized weekly work schedule and schedules their time on the Library &
Gardens Google calendar
• Performs other duties as assigned by Director

• Continuous communication and/or interaction with staff, volunteers, visitors and
management
• Evening, weekend and/or holiday work will be required to meet clients or to provide staff support for events
• Occasional bending, stooping, reaching, crouching or lifting (up to 50 lbs.)
• Prolonged periods of time sitting performing administrative functions
• Frequently required to walk, sit and stoop, kneel, crouch or crawl while setting up for
programs or events - small events or program set up will be the responsibility of the
Event and Venue Coordinator
• Regularly exposed to wet and/or hot / cold conditions - exposed to outside weather
conditions
